Digital Asset Register Template

A digital asset register acts as a comprehensive inventory of your organisation’s hardware and software, including details for efficient management and compliance. It can help you to be compliant with software licencing agreements and better manage potential security vulnerabilities and updates of your digital devices and systems.

Our digital asset register template – downloadable as an Excel file – has one tab for software and one tab for hardware, and includes fields for:

• Internal ID: Unique identifier for each asset.
• Category: to help you group and label your digital assets by type (e.g. laptops).
• Name/description and version/model: Clear name and version of the software or hardware.
• Developer / vendor: who created or provided the asset (e.g. Microsoft).
• License: information about the software license agreement.
• Owner / assigned users: which department or individuals use the asset.
• Purchase date: When the asset was acquired or installed.
• Support / warranty: details about support contracts, contact information, and expiry dates.
• Comments: any other relevant information.

Included on the first few rows of both tabs of this template there are example digital assets to demonstrate how it works. Note that these may not be relevant to all organisations – you should delete these examples, complete the template, and amend it if needs be, to suit your organisation’s needs. There is also a tab called ‘Categories’ that gives example device and software categories.
